MINUTES – NWSWFA – March 18th, 2010 – 7pm Century House – New Westminster

  1.  Status of Teams
Everyone paid up – issues have been resolved with teams that hadn’t paid.

  2.  Schedule
New updated schedule more balanced in terms of game times.  There are a few corrections to be made before the final draft is created.  League is Tiered – East and West tiers.  There is a crossover whereby teams will play at least once, teams from the other tier, and then 2, possibly three times against teams within their own tier.

Six games added on last week of April – starting an extra week early will provide everyone with 20 games.  Thank you for flexibility with home fields, which is what allowed the earlier start.  There are a few dates where there is only one game at Moody – these are good dates to schedule make up games due to rainouts, etc… as needed.  There are two or three nights open in that regard for make up games – these NEED to be scheduled – the city does not like to see the field empty – we need to fill the field those days, - please make an effort to schedule rainouts/makeup or exhibition games on these nights. Games at Mundy Park are all at 8:15. Games at South Hill are all at 8:45.

3. Website
Reminder – website on esportsdesk.com – please make sure that teams update rosters or post new ones if you need to.  If anyone needs Ken Jew’s (webmaster) email or contact info, please contact Sue Woodland and she can set you up with that info.  

4. Annual Field Clean Up
Please provide some volunteers to help groom Moody Park – Sue will set a date and email it out to team reps. Please make sure your team sends some reps to help out!  

5. Practice Schedule for Moody Park Home Based teams – Sundays booked up from beginning of April until the start of the season – 12-5 pm.  M/T/Th at 7 and 8:45 as well.  Please let Suzy know what practice times your team would like and she will try to share the time equitably.   Also, non-Moody home teams – if you would like a practice at Moody too, let Suzy know and she will TRY to slot you in as time permits.  

5.  Next meeting – Thursday, April 15th at 7:15 pm - another meeting needed to discuss umpire situation, Softball BC memberships & paperwork , also hosting Sr. A Provincial at Richmond (Jr A and Jr B at Richmond in same weekend – July 24-26th)  League playoff weekend on July 10-11 (weekend – tournament format) at Moody Park.  Senior B Provincials in Victoria on the same weekend as A Provincials.    

6. Other items: 8:45 games at Moody starting late – request that the time limit be honored, umpires to be instructed to honor time limits.   

Announcers booth structure is rotting – City of NW is providing a quote for the repair – if we want to keep it, the cost will be to the league.  

Those not in District 6 – contact your coordinator, get your handbooks and paperwork.  Please make sure you send the “goldenrod” (league copy) sheet (from your registration) to Suzy  

8 teams in A - need to make sure we have lots of helpers – teams need to provide volunteers for various jobs as our association is hosting Provincials in Richmond.  Scorekeepers, announcers – we need to try and make it a memorable event.  Prizes for provincials to be changed – samples of the item to be provided for teams to try on and then order in appropriate sizes.  

Kaos is looking for exhibition games prior to the season starting, either during practice times or?  - Sr. Legends interested Contact Kaos coaches if interested.  

Please check schedules for July 1 (Thursday before long weekend) games – if your team won’t be able to play, please let Ariel know by March 25th, 2010.  If you don’t let her know by March 25th then you WILL be playing on July 1st.  

League fees due at next league meeting – Thursday, April 15th at 7:15 pm.

Umpires Report Bill Yeardon - No changes, same fees as last year, no new rules. Dusty Yeardon will do the allocating. Bill asks if a 7:00 game is cancelled could we move the 8:30 game to 7:00? Suzy explains that last minute cancellations would make moving the game near impossible. She notes we can try if the cancellation is noted with plenty of advance notice.

Suzy notes we will pass on a schedule as soon as we have one.

Suzy asks coaches to call Dusty to arrange Umpires for exhibition games.

Presidents Report
Suzy passes around a contact list for updating.

League Status - Nitro and Rage have officially dropped. Mavericks will take one spot at Moody. Poco has pulled out to play in the Junior Interlock. This leaves our league with twelve teams. A second Burnaby team has asked to bring a team in with the players displaced by the Poco move. The addition would make for thirteen teams. It appears they would come with a Monday field time at Squint. Discussion voices concern over late request to join. We had a commit date of Feb 15th and everyone else had to have their pegs ion a row by then. Concern that we must get schedule underway immediately and there is no time to negotiate with a team that is just trying to come together.

Our current twelve teams, leaves 5 based in Moody and 7 outside Moody. This leaves one timeslot at Moody unused. We must use all spots we have booked or risk loosing a part of the booking. For May and June, the teams whose home fields are outside Moody will take one time slot each in Moody for a single home game. The remaining open spots will be reserved to make-up cancellations and rainouts. Cal notes those teams will need to pick-up the cost for one additional game each.

Suzy asks Wendi to update constitution as per the last AGM. Perhaps there are no changes as no motions were passed but Mavericks will need a copy of the rules so Wendi will check them and provide new copies.

uzy does not yet have a contract from the city. Email Suzy with your requests for field time for practice and she will slot you in. We should have 6-8 and 8-10 time slots.

VP Report
Rainouts will be called at 4:00. Will Melissa be the rainout contact? Kathy will confirm. Home teams must call Joe and the umpires.

VICE PRESIDENT’S REPORT
B>Cal reports that he has Don Wigman’s rake at his home as well as the speakers. He has spoken with Joe and reports that Joe is anxious to return this season.

Cal explains that his concern at the AGM over his ability to carry on as Vice President has become a reality and he will be stepping down as VP. Cal has spoken with Sue Woodland and she is willing to step in as VP. Suzy asks if anyone else would like to contest for the position of Vice President. Hearing from no one, Suzy welcomes Sue as VP.
TREASURER’S REPORT

B>Ken Jew has stepped down from Nitro but he is willing to still help with the website. Suzy asks if anyone in the room will step in if Ken is unable to continue when he if he no longer has any involvement with the league. No one steps forward.
TEAM COMMITMENTS

B>Suzy mentions that New Westminster Minor has a team moving to Junior that initially wanted a Moody field time. Suzy indicates that the team might not play at the level of the Moody Park league and in discussions with the New West Minor President, they have decided to move to Sapperton. Suzy thinks NWSWFA should offer some help to New West Minor so we stay in good standing in the community.

Heat - is struggling for enough players.
All other teams while still cobbling together their rosters have committed to return.


We will have a drop dead date for commitment of Feb 15th so that we can decide whether or not we will have enough room to bring the Mavericks and Poco into our league.

Suzy’s email request for feedback regarding the Poco team was supportive of bringing them into the Moody Park league. A couple of concerns with the distance to their home field but in

One spot is open in Moody. Sunfire is next in line but Suzy proposes that the Cavaliers take the spot if Sunfire does not want it. Ian Wragge expresses a concern that if he leaves Mahon he will not get it back. Suzy assures him he will not be asked to leave in the future. Cavaliers will move into the sixth spot in Moody.

Umpire Fees BBR> Suzy reads letter from Tri-Cities Umpires requesting pay increase. They are asking for $38.50/umpire/ game. $35 for umpires. $3.50 scheduling fee. We previously paid $33.00. Agreed that we will pay the increase this year.
Treasurer notes that we will need to cover additional costs. Per game fee will increase to $66.

Suzy notes that there will be no fine levied against Heat as their absence at the last meeting was due to an emergency.
