New Business

1. Inter-league Play

Executives from Vancouver league and VSA met to discuss interleague play. Dates for interleague play will tentatively be May 4th, 25th and June 8th. Will use two parks on interleague Sundays. Vancouver will play double headers, Surrey Teams will play single games

2. Social Event

Teams are to wear their team jerseys There will be no dance. Location is Port Kells at 9:00 am. We will self umpire games. Rob from Sox has volunteered to umpire.

3. Ice Breaker – Icebreaker at Softball City will be April 11-13th

4. Equipment

League has purchased new break away bases that are to be used at Clayton only.

League will buy a new lock for the equipment box. We will have secondary bases for use at other parks. Teams are to ensure that all equipment is put back in the box after each game and that the box is locked. Pitching rubber has been adapted and a batters box template has been made.

Composite balls have been ordered. Suggested that we use a hockey bag to store the bases. Should we want to use one Booker has one for us to use.

Shannon to find out if there is to be sand dumped at Clayton for the diamonds

6. League Fees

$700.00 as required paid by Blitzed, Ravens, Extreme, Knights, Free Agents, Cranked, Reds and Sox. Cartel paid in full

League fees are to be paid in full before the beginning of the season - opening day April 27th 2008 or no points until the fees are paid.

9. Play off format

Playoff format was voted

A division will be teams 1 through 7 - Team 1 will have bye. Team 2 will play team 7, team 3 will play team 6 and team 4 will play team 5.

B division will be teams 8 through 11. Team 8 will play team 11, and team 9 will play team 10

All playoff games will be the best of 3 - no consolation rounds

Reminder to coaches that communication is huge and that the coaches need to respond to emails.

New Business

1. Inter-league Play

There is a possibility of Vancouver having 5 teams this year. The league has come back to us that they now travel to Surrey every 3rd Sunday.

Vote was unanimously carried (Freebasers not present at the time) to have inter-league play.

Shannon to contact Parks board to see if other parks are available on those Sunday required to have all teams be able to play. Should this not be available – some teams may have a Sunday by this year.

Games would probably be played at 9:00, 11:00, 1:00, 3:00 and 5:00.

As some players play in both leagues, these players are to decide on which team they will play for during inter-league play. They cannot play for both teams on inter-league Sunday games. Players can play any other Sunday or weekday games for their Surrey team

2. Social Event

Social event will be April 19th. Fun ball (Boogie Ball) day and dance. Most teams are interested in both. Once finalized, information to be sent to the coaches to distribute to their teams. Players can invite others that do not play in our league.

Need to book hall and park still. Cost to be determined.

Suggested that we spot check equipment this year, as in the past equipment has just been thrown in the box. Requested that teams ensure that the equipment is put back in box properly to ensure bases are not damaged this year.

5. August 2nd Long Weekend Tournament – Cloverdale Athletic Park

All teams are to enter if possible, representatives must be present to assist in field set up etc – Pamphlet to invite other teams pending until we know whether we get a beer garden or not. Should we not get a beer garden we will not host the tournament

Mark & Andrea attended and applied for the beer garden – decision will be known in March Craig from the Reds will donate insurance for liability purposes

Minor Softball will be running the concession. Proceeds to go to Minor Softball for children that cannot afford to play

The President opened the meeting at 7:00 PM, welcomed all that were present and for attending the meeting

All teams were represented, MASH - 3 representatives, Reds - 3 representatives, Blitzed - 6 representatives, Freebasers - 1 representative, Ravens - 1 representative, The Sox - 1 representative, Cartel - 1 representative

Two executive positions were up for election for the 2008/2009 seasons

Shannon Rusk - re-elected as President for the 2008/2009 season

Marlene Middlebrook - elected as secretary for the 2008/2009 season

The treasurer presented the Income statement for 2007 season to all that were present.

Increase in league fees for 2008, to approximately $1800.00/ per team, due to cost of having a two carded umpire system.

Umpires

Suggestion was raised from the floor to have 1 carded umpire during Sundays games, and having the 2 cared system during weekdays. This would have teams umpire bases on Sundays.

Suggested from the floor that the UIC have meeting with the umpiring staff to have more control of the players on the field.

President to speak with UIC regarding concerns from the floor.

A vote was put to the floor whether we stay with 2 carded system - Unanimous decision carried to stay with 2 carded system. The proposal to have league fees increased was carried

There are three new teams that are interested in joining the VSA, all three teams were present at the AGM. We can currently accomodate these teams. $300.00 non-refundable deposit required from any new team by February 1st, 2008. Should any new teams approach the VSA, the executive will approach the Parks Board to see if other parks maybe available for Sundays.

"Softball Stays at Clayton Park". The Surrey Parks Board will be reconfiguring the ball diamond at the end of July 2008. The diamond will not be changed into a soccer field .

Interleague Play - It was discussed whether the league wanted to have interleague play with the Vancouver league. This proposal was voted on and majority voted against

League Tournament

Fields at CAP Park (Cloverdale Atheltic Park)are available for the league to host a tournament August 1, 2 , 3, 2008. Beer Garden permit needs to be applied for by February 12th, 2008. Treasurer will apply for permit.

In order for the tournament to be a success a vote was put forth to the teams for commitment for playing & field maintenance. Unanimously carried (all players are not commited to play)

Opening Social Event

Put forth to have a season opening dance and fun game of ball April 19th, 2008. The fun game of ball would have anyone interested to play. Names are put into a hat and teams are drawn from there. Pitchers in 1 hat, ladies in 1 hat and men in 1 hat. All present are interested in the day of fun!

League starts April 27th 2008. All teams with the exception of any new team, must have a deposit of $300.00 February 20th, 2008 at the first coaches meeting.

A reminder was put forth that the Coaches are the voices of the league. All players are to go through their coaches with any concerns, they in turn will bring these concerns up at monthly coaches meetings.

Valley Softball League March 29th Meeting Minutes The first issue addressed was playing at Softball City on Friday nights. As per Marlene, our only cost would be to supply umpires. We will find out from Softball city the exact details of their offer. We are thinking of either having games for 7 and 9 on Fridays with 2 diamonds, or, 6:30/7:00 with three diamonds. We will know soon once Marlene gets the final say from Softball city and vote. For those who aren’t aware, the Krew and Shooters have dropped out this year and the Adanacs are new to the league. We will soon know the exact amount for league fees this year, so coaches please start collecting from your players. Teams Paid so far as of March 29th: LEAGUE FEES PAID TO DATE: BLACK SOX $600 HAYWOOD $500 RAVENS $750 SMASHERS $750 BLITZED $750 REDS $250 FREEBASERS $0 (Will deposit $750 by Mar 31st) ADANACS $0 (Will deposit $750 by Mar 31st) There was a concern over Team uniforms. We will not chase you down if you forget your uniform, but we do want uniforms worn or at least the same colour shirts (for the new teams we will cut some slack too). Constant breaches may result in a fine depending on the circumstance. League roster can contain MAX 20 players. Once rosters are submitted, please make sure you tell me of changes. For those who are in wanting to get new bats this year, we have decided that we will go with the current Softball BC regulated bats. The list will soon be forwarded or you can check it out online. The end of league dance will be held Saturday, July 22nd at the Canada Games Pool. Also we have decided that it is to be divided throughout the teams to run the dance instead of the Executives. Shannon will try and have the schedules out by the end of next week (depends on how our negotiations go with Softball city)
Minutes from Feb22/2006 (added Feb 22, 2006)
The meeting was attended by members from Blitz, Ravens, Smashers, Krew, and Haywood. In addition to these attendees, two members from a potential new team attended. Item 1 - New Teams Ian Kromm from The Adanacs presented team information to the league regarding have this team join the Valley Softball League. The league voted to have this team join the league. The league is also still actively searching to get new teams in the league. At this point there are 2 slots available for new teams. There is an ad posted on Craigslist currently. There was discussion about getting a posting on the website and any other place that might garner interest from other teams. It was also decided that there would be a cut-off date of March 15 for any new teams to join the league. Item 2 – League Fees League fee deposits ($250) were collected from some teams present. The rest of the teams need to send their deposits to Leanne or deposit to the team account. The next deposit of $500 is due at the next league meeting (to bring team deposit totals to $750). Item 3 - Umpires The issue of umpires was discussed in the AGM, we had hoped to have some resolution to the issue of lack of umpires by this meeting date. Unfortunately, Doug has had difficulty getting call backs from people associated with umpire affiliations. Doug will keep trying to contact people who may know of a source for umpires. In addition, Shannon will try find lower mainland umpire clinics etc. that may have information regarding getting a supply of umpires for our league. It was also discussed that in order to get umpires we may need to increase the amount being paid per game to the umpires. The league would be able to offer this as there had been a reduction in the amount of the field fees ($1200 less this year) from previous years and the league does have some cash in the bank. Item 4 - Vous Krew Bob informed us that it is possible that the Vous Krew may not be able to field a team this year. In order for them to field a team they need to find a pitcher. Bob committed to knowing whether or not they would have a team by March 15. Item 5 – Balls & Bats There was (as usual) a discussion regarding the bat issue and the ball issue. Some of the discussion revolved around if reducing the core of the ball would alleviate some of the issues with the bats. It was decided to change to a lower core ball this year, from 47 to 44 core. The bat issue was not resolved. It was decided that we would get information from other leagues in the lower mainland (likely Richmond and Vancouver) and see what they are using. We would then make a decision about what bats to allow based on this information, this would provide consistency with what other leagues are doing. We will have this information for the next meeting so a final decision can be made. Item 6 – Schedule The executive committed to having this season’s schedule completed by March 22, 2006. This may be contingent on final field confirmation from the city but should be doable. Item 7 – Secretary We have confirmation that we have a new secretary. Michelle Henry (Black Sox) will step into the secretary position.
